Executive Assistant to the CEO

Role Overview

Do you love interactions and building social relationships at your workplace? Aside from the executive and administrative duties, it serves as an integral role to maintain and build strong working relationships in the organization. If you answered “yes”, then this role is for you!
As an Executive Assistant reporting directly to the CEO of SupremeX North America you will be responsible for a wide variety of administrative duties along with providing analytical support to the executive team. The role provides general office services ensuring all administrative and operational processes and control standards are followed, while seeking to determine, develop, and participate in implementation of improvement opportunities, contributing to the effective and efficient operation of the business group. The Executive Assistant is also required to maintain confidentiality and professionally interact with employees, management and customers.

Your specific responsibilities will include but are not limited to:

• Administrative duties include, but are not limited to arranging travel plans, meeting minute-taking and distribution, scheduling appointments and drafting both internal and external correspondence
• Maintain all communication via phone, in-person, or through email effectively and in time-sensitive manner
• Run ad-hoc reports using the ERP system as required and present key data and metrics into a dashboard, presentation, or create models
• Provide analytical support by analyzing the data and metrics extracted using the ERP system
• Break down strategic problems and analyze data to provide insights and recommendations
• Act as first contact for the CEO & President of SupremeX North America and play role of liaison, problem solver, and facilitator
• Prepare “week ahead” and “day ahead” schedule, calendar, meetings, and manage scheduling conflicts and communicate changes in schedule effectively
• Professionally redirect emails, handle communication, manage invites, and have intimacy with the CEOs schedule when managing or prioritizing needs
• Manage significant load of electronic filing, expense reporting & record keeping
• Prepare briefing notes, meeting minutes, draft reports, background documentation, and research
• Lead the planning, coordinating and implementing of office activities and events.
• Reconcile & prepare expense reports, approve invoices, and other related duties
• Ensure the teams deliver top-notch outputs to support the goals of SupremeX and the best service to our customers



Candidate Requirements:

• 5 years experience in an administrative role preferred
• Post-Secondary Diploma or Bachelor's degree
• Strong computer skills in MSOffice required (Outlook, Word, Excel, Power Point)
• Strong knowledge of office procedures and practices
• Bilingual in French and English is an asset
• Experience with Microsoft Dynamics AX (or similar) and Business Intelligence Software is an asset
• Comfortable with technology, extracting & organizing data and synthesizing the information
• Excellent communication skills, both oral & written
• Willingness to do ‘personal’ travel and appointments
• Demonstrated professionalism and experience in working with highly confidential information

Candidate Profile:

• Highly efficient, resourceful and flexible with the ability to prioritize and multi-task as per executive team needs
• Highly organized and detail oriented with a plan to meet tight timelines and must have strong time management skills
• Must have excellent organizational skills for fast paced environment and ability to work independently
• Ability to provide executive team with metrics and data using the ERP system and run ad-hoc reports on a needs basis
• Ability to analyse metrics and data and build models or present findings in a dashboard for the executive team
• Excellent interpersonal skills and ability to effectively communicate and collaborate to develop working relationships with internal staff and external stakeholders
• Ability to handle difficult situations with diplomacy and tact independently without dependency on executive team
• Self motivated, enthusiastic, high energy, team player focused on the goals of the organization
• Pleasant telephone manner and professional appearance when representing SupremeX in all manners
• Can-do attitude; must be proactive and solution oriented, looking for ways to add value and assist with the needs of the executive team
• Ability to manage high volume email and synthesize actions needed, including the ability to decline/accept invites quickly, simply and professionally
• Highly committed and flexible to the business and CEO’s needs; including being flexible to work outside of office hours when required
